Renewal Automation

What runs automatically

The exact conditions under which Autopilot creates a task, and where that work shows up.

The trigger conditions

A scheduled job evaluates your effective requirements and creates a renewal task when a required credential is:

  • Missing — the employee has no credential of the required type.
  • Expiring — the required credential falls inside the warning window.
  • Expired — the required credential is past its expiration date.

What happens after a task is created

  • If automatic emailing is enabled, the employee is sent a secure renewal link.
  • If it is not enabled, the task is still created and a manager sends the request manually.
  • The request appears on the Renewals page under Awaiting employee.
  • Once the employee submits, it moves to Pending review and raises a review item in the Action Center.

Interaction with reminders

While a submission is genuinely awaiting review, the ordinary expiration reminder for that same credential is suppressed. The pending review item is the more specific and more actionable signal.

Rejecting a submission does not suppress reminders, because the credential is still unresolved and the ball is back with the employee.
