Automations

Stop conditions and configuration

What stops each automation, which settings control it, and how to turn things off safely.

What stops reminders

  • The credential is renewed, so a new expiration date starts a new cycle.
  • A submission for that credential is awaiting review, which suppresses the ordinary reminder.
  • The post-expiration follow-up has already been sent — reminders then stop entirely.
  • The employee is archived.
  • The credential has no expiration date.
  • The plan does not include reminders.

What stops Autopilot tasks

  • Enable Renewal Autopilot is turned off, which stops new tasks. Existing requests remain and can still be worked.
  • The requirement is removed, so the credential is no longer required.
  • The credential is renewed and current again.
  • The employee is archived.

What clears Action Center items

Items exist only as long as their condition does. Record the missing credential, approve the renewal, correct the expiration date, archive the employee, or remove the requirement, and the item disappears on the next load.

Settings that control automation

  • Enable the employee portal — the prerequisite for portal and renewal links.
  • Allow employees to upload documents (not just enter details).
  • Email employees when their submission is approved or rejected.
  • Enable Renewal Autopilot.
  • Automatically email the employee a secure renewal link.

These settings live under Settings → Employee Portal and are available to owners and admins.
