Renewal Automation

Configure Autopilot and safety

Turn Autopilot on, choose whether links are emailed automatically, and keep the safeguards in place.

Configure it

  1. 1Go to Settings → Employee Portal. Owners and admins have access to this section.
  2. 2Turn on Enable the employee portal, since Autopilot depends on secure employee links.
  3. 3Decide whether to Allow employees to upload documents (not just enter details).
  4. 4Turn on Enable Renewal Autopilot.
  5. 5Decide whether to turn on Automatically email the employee a secure renewal link.
  6. 6Save.

The two Autopilot settings

  • Enable Renewal Autopilot — creates renewal tasks automatically for required credentials that are missing, expiring, or expired.
  • Automatically email the employee a secure renewal link — sends the link without a manager doing it. When off, tasks are still created but a manager sends each request manually.

Safeguards

  • Manager review and approval are always required. Autopilot cannot approve anything.
  • Only required credentials generate tasks.
  • Secure links expire, and can be regenerated or revoked at any time.
  • Turning Autopilot off stops new tasks; existing requests remain and can still be worked.
