How to Migrate From a Spreadsheet to Credential Tracking Software
A low-risk, step-by-step process for moving off a spreadsheet without losing data or momentum.
Migrating off a spreadsheet feels riskier than it usually is. The real process is mostly about mapping your existing columns to a standard format and importing carefully — not a risky all-or-nothing switch.
1. Don't wait for perfect data
One of the most common reasons migrations get delayed indefinitely is waiting to "clean up the spreadsheet first." You can migrate imperfect data and clean it up over time — waiting for perfection just delays the benefits of switching.
2. Map your columns to a standard format
Most credential tracking tools expect a similar core set of fields: employee name, credential type, issuing authority, issue date, expiration date. Map your spreadsheet's actual column names to this standard set before importing.
- Employee name
- Credential type
- Issuing authority
- Issue date
- Expiration date
3. Import and spot-check
After importing, spot-check a sample of records against your original spreadsheet to confirm the data came through correctly before you fully rely on the new system.
4. Keep the old spreadsheet as a backup, briefly
There's no need to delete your original spreadsheet immediately. Keeping it as a reference during the transition period is a reasonable safety net while you confirm the new system is working as expected.
