A tool that just stores a date isn't meaningfully different from a spreadsheet. Look for automatic current/expiring/expired classification and reminders that don't depend on someone checking manually.
3. Check for role-based requirements, not just individual tracking
Tracking what an employee HAS is only half the picture — a tool that can also define what a role REQUIRES lets you catch missing credentials, not just expiring ones.
4. Confirm it fits your scale, honestly
A tool built for enterprise HR departments can be overkill (and overpriced) for a 20-person business, just as a tool with no multi-location support won't scale if you're planning to grow. Match the tool to where you actually are, with room to grow.
5. Try it with your own real data before committing
A free plan or trial that lets you import your actual employees and credentials tells you far more than a demo with sample data — look for a tool that lets you genuinely test it before paying anything.
